The ND Long Term Care Association (NDLTCA) is looking for an Administrative Assistant to join our small, fast-paced, and flexible office in Bismarck, ND. This role comes with an excellent salary and benefit package. Benefits include health, dental and vision insurance, retirement, and annual/sick leave.
The NDLTCA hosts three major events annually: the Annual Convention, Fall Professional Development Conference, and Administrator’s Conference, along with additional training sessions.
The purpose of this role is to provide comprehensive event management and administrative support for various events and activities, including coordinating events, managing registrations, promoting programs, maintaining databases, and supporting licensing. It ensures smooth operations, upholds standards, and delivers excellent customer service.
Qualifications and Skills
A minimum of two years of experience in an office environment performing administrative duties.
Excellent and timely written and verbal communication, customer service skills, organizational skills, and meticulous attention to detail.
Maintain organized records and prepare materials in advance of events.
Self-starter and ability to work independently, sometimes on multiple projects or assignments.
Promote a customer-focused approach to all interactions.
Computer proficiency and technical aptitude with the ability to use Microsoft Office, QuickBooks, and Adobe CS6.
Ability to take thorough and accurate meeting minutes.
Responsibilities
Event Management:
Develop brochures, evaluation forms, certificates of attendance, and registration materials.
Build and manage online registration systems.
Promote events via social media and distribute information to relevant stakeholders.
Prepare continuing education applications and maintain conference details on the NDLTCA website.
Manage registration lists, name badges, and workshop materials.
Respond to inquiries and track continuing education hours.
Send certificates of attendance and manage outstanding payments.
Convention Committee:
Serve as the lead coordinator for registration and online systems.
Organize and distribute meeting agendas and materials.
Market Caregiver of the Year and Volunteers of the Year awards
Coordinate the Cherished Hopes Raffle, including securing permits and managing ticket distribution.
Expo Coordination:
Market the Expos held in conjunction with our Annual Convention and Fall Conference and recruit vendors.
Manage vendor registration and placement, ensuring a smooth event.
Develop promotional materials and track payments
Associate Membership:
Market and manage the Associate Membership Program
Update member databases and maintain communication regarding renewals
Board of Examiners Responsibilities:
Maintain lists of licensed administrators and distribute licenses and renewals
Compile meeting minutes and update website information
General Office Duties:
Answer phone inquiries and assist with mailings
Maintain office supplies and provide backup support to the Office Manager
Manage and create social media posts
Other duties as assigned.
